Understand role-based access and permissions across your Billables AI organization
Billables AI roles determine what actions users can take within your organization. Assigning the right role helps ensure proper access, governance, and billing accuracy across your team.

Admin
Admins have full organization-level control in Billables AI.
Admins can:
Manage organization-level billing preferences
Add, edit, or delete billing codes
Manage users and assign roles
View Analytics data for teams
This role is typically assigned to firm administrators, operations leaders, or IT owners.
Billing Code Editor
Billing Code Editors can manage billing codes and related billing logic for the organization, with some limitations depending on integrations.
Billing Code Editors can:
Add, edit, or delete billing codes
Configure billing-related settings, such as:
Uploading client billing guidelines
Setting time entry preferences and rules
Important integration note:
If your firm uses an integrated practice management system (such as Clio, MyCase, SurePoint, LeanLaw, Centerbase, or Orion), that system is treated as the source of truth for clients and matters. In these cases:
Billing Code Editors cannot add, edit, or delete clients or matters within Billables AI
Client and matter data will sync from the practice management system automatically
Billing Code Editors can still add and update client billing guidelines
Member
Members have standard access to Billables AI without organization-level administrative permissions.
Members can:
Use Billables AI for day-to-day timekeeping
Review, edit, and submit their own time entries
View their own Analytics
Members cannot:
Edit organization-level settings
Manage billing codes
Modify firm-wide billing preferences
Choosing the Right Role
Assign roles based on responsibility:
Use Admin for firm-wide configuration and user management
Use Billing Code Editor for billing and compliance-focused roles
Use Member for attorneys, paralegals, and timekeepers who do not manage firm settings
