Do my accounts and emails need to match for Billables to work?

Learn what happens if you have different email accounts and logins

To ensure the best experience for time capture and accuracy, the email address used for your Billables AI account should generally match the email addresses used in your connected integrations (such as email, calendar, and document systems).

When emails don’t match, there may be certain workarounds or nuances in the resulting time entries.  Below is a breakdown of what to expect by integration.

Email & Calendar Integrations (Outlook & Google)

Billables AI uses email identity to determine whether you are the sender or a participant in an activity. If your integrated Outlook or Google mail account does not match your Billables AI account, the time entries will still get captured but the narratives will reflect you as a participant rather than author/receiver of an email (e.g. "Corresponded with M. Myself re: motion for summary judgement")


Microsoft Office & Add-in Setup

Your Microsoft Office (Word, Excel, etc.) email should ideally match your Billables AI email.

In some cases, e.g. Google Workspace users, your Microsoft Office account might be different than your regular email (e.g. name@firm.onmicrosoft.com). If this is the case:

  1. Integrate SharePoint/OneDrive on the Integrations page (even if you don't actively use it)
  2. Then, enable the Microsoft Add-in
  3. Billables AI will make the connection between the Sharepoint account integration with the Add-in integration and automatically sync.

Adobe Acrobat

No email is required to enable the Adobe integration.

 

Browser Integrations (Chrome, Edge)

No email is required to enable the browser integrations.

 

Practice Management Integrations (Clio & MyCase)

For Clio and MyCase, the email used in those systems must match your Billables AI account email.
