Best Practices For Using Billables AI

 
 
This guide walks you through some of the best practices when using Billables AI. This includes setting up integrations, managing entries, and customizing your dashboard.
 

Integrations

In order for activity to appear on your dashboard, you will need to enable integrations. To do this, head to the integrations page.

Enable the integrations that align with your firm's needs, such as Emails, Calendars, Audio/Video Conferencing apps, preferred Browsers, and Documents.

 

Be sure to check the date and time of the last activity for each integration to confirm they’re all active. If any integration becomes disabled, Billables AI will send a notification email to inform you. Add notifications@billables.ai to your contacts for timely alerts.

Your Time Entries

Activity Information

With your integrations enabled, the dashboard will begin to display your tracked activities. Hover over the activity's icon for more information.

Click Show more (while hovering) to see specific emails or documents and other sources linked to that activity.

Approving Your Time

Approve tracked activity by clicking the check mark next to each entry. We suggest spending a few minutes daily reviewing and approving your entries. The more frequently you approve activities, the more closely Billables AI can tailor future entries to your preferences.

Editing Entries

To edit an entry, click the pencil icon next to the entry you wish to make changes to.

You can make changes to the client, matter, duration, billing codes, and narrative of your entries. Editing your entries will help the system with client-matter matching and tailoring narratives for future entries.

Favourite Your Billing Codes

On the Billing Codes page, favorite the clients and matters you use most often to improve client-matter matching. Favorited records are marked by a blue star next to the entry.

Hidden Entries

Billables AI occasionally hides entries it deems less relevant, functioning like a spam folder. To review all captured activities, toggle the View all option. Restore any item by approving it, and it will be returned to the main dashboard.

Settings

To better adjust your records to your firm's preferences, visit the settings page to customize your dashboard entries, narrative descriptions, and more.

We suggest you consider enabling automatic entry merging, which will automatically group similar and related records. In addition, we recommended adding billing guidelines to help further customize your narratives. For example, you can use billing guidelines to replace "research" with "review" and hide certain names and emails from the description.

Merging Records

To merge records, select at least two records and select the merge button.

You will have the ability to edit the entry before merging. Billables AI will automatically combine the total durations of all merged entries.

You can select generate new narrative to automatically generate a new narrative that highlights all of the activity that will be merged.

Both Merged and auto-merged entries appear with a merged arrow icon on your dashboard.

Dashboard Views

Select the suitcase icon in the top left of your dashboard to view entries by client and matter.

Select the table icon to view clients in a table format. This allows you to sort clients in different categories, and you can make changes directly to your entries on this page.

Activity Report

We provide insights into your activity through our activity report page. Select the graph icon on the sidebar to access the report.

Here you are able to see your billable and approved time as well as the sources for entries and time spent per client. You can choose to view these analytics for varying time periods.

You can also view trends about your billable and approved time in either daily, weekly, or monthly increments.
