Admin-Timekeeper Onboarding

Everything you need to connect your tools and start capturing billable activity automatically.

Step 1) Log-in

For Users Invited by Their Firm:

If your firm has already created an account for you, you can either:

  • Click the link in your Billables invitation email to activate your account, or

  • Go to https://app.billables.ai, select Log In, then click Forgot Password to set your password and access your account.

For Individual Accounts:

Go to https://app.billables.ai and sign up using your work email address.


Step 2a) Set Your Organization Level Permissions

If you are an admin on your firm’s work platforms, such as Microsoft and Zoom, you’ll need to grant integration permissions for those accounts before proceeding. For detailed instructions on enabling organization-level permissions, please consult this article.

Step 2b) Set Up Your Individual Integrations

To maximize the accuracy and completeness of your billable records, connect all the platforms you rely on throughout your workday. See this article for more details on each integrations.

These integrations allow Billables AI to seamlessly and securely capture every billable moment, ensuring comprehensive time tracking with minimal manual effort. You retain full control and can enable or disable any integration as needed at any time.


Step 3) Add Your Billing Codes

If you were invited by your firm, your billing codes will already be added and you can proceed to Step 4. 

You must be an Admin or Billing Code Editor to add or edit billing codes.

Add your clients, matters, and billing codes so Billables AI can automatically match captured time to the correct matter. This can be accomplished through an integration with your billing platform, or they can be manually entered 

To integrate your billing platform for automated billing code import, go to Billing Integrations.

To manually enter your billing codes, go to Upload Billing Codes.



Step 4) Visit your Dashboard to train your AI

Navigate to and familiarize yourself with Dashboard where the real progress happens.

Each day, spend a few minutes to:

1) Review: Look over your automatically drafted time entries as you would a draft prepared by a human assistant.

2) Edit: Adjust client, matters or narratives as needed. Each edit helps Billables AI learn your firm’s preferences.

3) Export: Send your approved entries directly to your billing system with as little as a single click.

Pro-tip: Adjust your settings to meet your firm and client billing guidelines!



During your first week, aim for about 20 minutes of daily review. This short investment trains Billables AI to mirror your unique billing patterns—so over time, fewer edits are needed and your daily entries become smarter, faster, and more precise.

Your consistent 1-2-3 routine ensures accurate billing, less manual work, and the full benefit of AI-driven automation.
