Managing Personal vs. Work Activity in Billables

There are various reasons that we use our work computers or work applications for personal matters. Whether you are ordering something on Amazon via your browser between client meetings or logged into your work M365 credentials on a personal computer during vacation, there are numerous ways to prevent this information from being billed to a client or your boss finding out.
Outlook Email, Calendar; Google Email Calendar
- You may receive personal emails to your work emails or have personal events on your work calendars. These emails will automatically get pulled into Billables BUT guess what? You can hide these entries and then the AI will learn to classify these types of entries as “non-billable” in the future.
- You can also create billing guidelines using natural language such as “do not reference or relate emails to narratives from the following email domains: “myhusband@gmail.com” or “betterhomeandgarden.com.” Or, “do not consider my Mon, Wed, Fri training blocked on my calendar for my narratives. This calendar entry is not related to any of my clients and matters.”
Browser
- We integrate with Edge and Chrome. If you only use one browser for work and another for personal, then none of your personal activity will make its way into Billables.
- If you refuse to use Edge for some reason and want to do everything on Chrome, then you can create two profiles (business and personal). And only integrate Billables on the business profile.
- Lastly, you could just go about your day and hide time entries from your Billables dashboard or create billing guidelines to exclude reference to activity from “espn.com.”
Word / Excel
- If you are using Word or Excel under your work log-in for personal matters such as Excel for personal finances, then you will see these entries auto populate in Billables.
- Use the hidden feature and billing guidelines to eliminate these entries from your main dashboard view.
It is important to note that:
- No entries in your Billables profile can be seen by your admin or anyone besides you.
- No entries will make it to your billing platform unless you (1) approve the entry and (2) release the entry.
There is also the option to PAUSE activity collection from ALL sources integrated with Billables at the very bottom of your settings page in Billables.
