What parts of my billable report are generated by AI?

We use API integrations with software like Microsoft 365 and Zoom to get precise activity timestamps to calculate Duration. In other words, the Durations themselves are not generated by AI. Instead, generative AI is used to 1) intelligently match client matters to relevant workstreams, 2) automatically create a narrative description of the work and 3) adapt to personal billing styles and preferences over time.

 

What integrations are available?

We currently support Microsoft 365, Google Workspace, Adobe Acrobat, Zoom and RingCentral integrations. You can choose which integrations you want to enable by visiting the Integrations tab and logging in with your Microsoft account.

How are my activities tracked?

We've built our activity tracking parameters to best reflect the natural workflows of professional service providers. Below are details on how each activity stream is tracked and reflected in your dashboard.

  • Email: All read, drafted and sent email activities are captured. Emails are included in the dashboard when they can be associated with a relevant client as listed in the Billing Codes page. Emails that are not associated with a client can be found in the View Hidden mode. Read emails automatically receive a 0.1 duration. Durations for drafted and sent emails are based on the editing time.

  • Calls: All calls made with Microsoft Teams are captured with call times reflective of the actual duration of the call. In cases where a Call activity and a Calendar activity are simultaneous, we defer to the duration of the Call activity as the source of truth.

  • Calendars: Dashboard will show activity associated with relevant clients as listed in Billing Codes. We capture all booked meetings regardless of attendance. Duration for Calendar time slips are calculated based on the scheduled time, unless there is Call activity that supersedes it (see above).

  • Documents: All document activity (Word, Excel, Powerpoint) occurring in OneDrive or Sharepoint is captured, including new document creation and document editing. Any non-Microsoft document (pdfs, jpgs, pngs) activity is only captured when the file is added to SharePoint or OneDrive - we are unable to show reading or editing time for these files.

  • Browser: The Chrome extension will relay data based on active time - when you're focused on a tab or window. It won't relay activity for background tabs that are inactive. Activity will be grouped by time and only broken up by periods of inactivity greater than 5 minutes. Currently, the narratives for these entries will encompass all the activity grouped within each session. even if you're working on different clients and matters. In the future, we will separate these out more granularly. To prevent duplicate entries, the browser integration will not relay activity.

 

How does Billables know what client matter I’m working on?

Billables provides an automatic client matter match for your work based on the content and context of your work activity. For example, it may infer a client matter based on the subject of an email, correspondents on a thread, content of a doc or file folder path of a document. Billables never stores the content itself.

 

Billables won’t always get the client matter right, but it gets better based on input. If an entry is incorrectly classified and you edit the entry to reflect the correct client matter, Billables will learn by association and get better at matchmaking the client matter next time (oftentimes as soon as the next day)!

 

Can I sign up for a Billables account using a personal email account?

Unfortunately, no. You must have a work email to create a Billables account.

Is my information secure?

At Billables AI, your security is our top priority. Here’s what we’re doing to make sure your information is safe:

  • Data access. Limited data access with user opt-in, secure SSO (single sign on) to third-party applications, stringent access controls and audited access logs

  • Application security. Data is encrypted in transit and at rest, strict network controls, industry best practices employed for infrastructure and secure coding practices

  • Data privacy. No storage of privileged data, customer data is isolated and anonymized, customers retain full control over their data, limited data retention

 

Can my firm see my activity?

No one at your firm can see your Billables dashboard or activity unless you share your password.

 

Can Billables see my activity?

No one at Billables can see your dashboard or activity.
